Scope

  • The Electronic Security Administrator is responsible for the administrative coordination, scheduling and compliance tracking of electronic security maintenance contracts across residential, commercial, retail and industrial environments. The role supports contract delivery by ensuring that planned and reactive works are organised, monitored and recorded in line with contractual obligations, applicable electronic security standards and company procedures.
  • Responsible for the accurate maintenance of CAFM systems, PPM programme coordination, purchase order administration, invoice support, and subcontractor administration in support of the Electronic Security department.
  • Acts as a key administrative link between field engineers, service managers, clients, and procurement, ensuring seamless contract delivery, timely communications, and a high standard of record-keeping to support compliance and accreditation requirements.

Duties

Contract Administration & Scheduling

  • Maintain electronic security service contracts within the CAFM system (JobLogic), ensuring PPM visits, reactive jobs, and remedial works are accurately logged, allocated, updated and tracked to completion.
  • Prepare and maintain the weekly electronic security engineering plan, incorporating PPM appointments, reactive maintenance requests, remedial works and client-specific requirements as directed by the Service Manager.
  • Schedule and coordinate engineer diaries in conjunction with the Service Manager, ensuring efficient routing, adequate labour allocation, and compliance with contracted visit frequencies.
  • Monitor job progress and proactively chase outstanding or overdue tasks, escalating programme drift to the Service Manager in a timely manner.
  • Coordinate the administration of subcontractor visits, ensuring relevant documentation, access arrangements, and site-specific requirements are communicated in advance.
  • Maintain and update asset registers and equipment schedules within the CAFM system, using SFG20 integration to generate sub-tasks and appropriate maintenance regimes.

Commercial, Procurement & Invoicing

  • Process and coordinate purchase orders for subcontractor works in accordance with company procedures.
  • Assist the Service Manager in tracking operative van stock for electronic security equipment, working with Stores and Purchasing to maintain appropriate stock levels and flag obsolete or unnecessary items.
  • Support Work in Progress administration by identifying aged, duplicate or open jobs within the CAFM system and escalating items requiring action to the Service Manager.
  • Assist with the preparation of electronic security compliance and performance reports by compiling accurate CAFM data for review by the Service Manager.
  • Support invoice administration for completed jobs and projects, liaising with the accounts team to resolve queries and assist timely billing.
  • Assist with quotation administration for reactive and remedial works under the direction of the Service Manager and follow up on outstanding approvals with clients where instructed.
  • Coordinate spare parts lists and liaise with suppliers and the purchasing team to arrange timely procurement of materials.
  • Assist in the preparation and submission of the monthly invoicing report, communicating findings to the Service Manager.

Compliance & Documentation

  • Ensure all service records, certificates, and compliance documentation are accurately filed, appropriately referenced, and readily accessible for client or audit purposes.
  • Support the preparation of compliance reports and client-facing KPI data under the direction of the Service Manager.
  • Coordinate the retrieval and filing of electronic security service certificates, PPM records and remedial documentation from engineers, checking for completeness before uploading to the CAFM system or client portal.
  • Assist in the preparation of permits to work, risk assessments, and method statements as directed by the Service Manager or QSHE team.
  • Maintain and update the operative training matrix, flagging gaps or expiry dates to the Service Manager for action.
  • Support the QSHE team and Service Manager in preparing for electronic security accreditation audits, including NSI-related evidence, by ensuring documentation is current, complete, and correctly stored.

Client & Stakeholder Communication

  • Act as a professional first point of contact for clients, subcontractors and suppliers, handling telephone and email enquiries promptly, courteously and in line with company communication standards.
  • Advise clients on engineer attendance schedules, appointment changes, and job status updates as required.
  • Maintain a professional company image through personal presentation, call handling, and all client and external stakeholder interactions.
  • Respond to internal and client enquiries efficiently and escalate complex technical or commercial matters to the Service Manager without delay.
  • Provide administrative cover for other team members during periods of unplanned absence or peak workload.

Health, Safety & Compliance

  • Carry out all duties in accordance with the company’s Health & Safety policy and the requirements of the IMS.
  • Implement and comply with EWC policies and procedures as set down by the ISO system of works, including business management systems, HR, IT, health and safety, environmental, communications, and branding.
  • Attend Health & Safety briefings, toolbox talks, and company staff meetings as required.
