Job Overview

We are currently seeking two experienced maintenance coordinators to join our team based in London.

The role will include coordinating maintenance for a portfolio of properties, organising engineers & contractors alongside liaising with customers. The successful candidate will be highly organised with proven maintenance administration experience and excellent customer service skills.


  1. To be responsible for assisting in implementing new structures and procedures.
  2. To plan maintenance tasks within agreed time frames and priorities.
  3. To Identify the engineering parts, labor and best practice approaches to plant maintenance
  4. To assist with the preparation of permits to work, risk assessments, and method statements including collating required H&S documentation from suppliers/sub-contractors
  5. To Generate spare parts lists and co-ordinate with suppliers
  6. To Prepare asset lists and update the company database
  7. To Support the purchasing process to allow control of parts ordering and cost control through a centralised spending tracker.
  8. To Process and coordinate incoming purchase orders.
  9. To Process, the invoices of completed jobs/projects, prepare quotations and follow up on the acceptance of the quote.
  10. To do the Coordination of service contracts with the maintenance manager to ensure compliance and statutory requirements are completed to the annual plan.
  11.  To Coordinate Commercial and Domestic PPM appointments and process Landlords’ Gas Safety Certificates.
  12. To Produce the weekly engineering plan, to include statutory inspections, maintenance requests, and safety-related requests as defined by the operations team.
  13.  KPI’s filing of all relevant inspection sheets from contract/calibration visits. Informing Engineering manager of upcoming inspections and required plant downtime.
  1. Extensive knowledge of maintenance, mechanical, electrical general building, fitting out, estimating, and pre-construction management, a good grasp of commercial management, contract and construction management, and technical services, and practical knowledge of safe methods of working.
  2. Knowledge of the process and processes involved in high-quality maintenance and project management and delivery.
  3. Knowledge of the EWC employee’s handbook, EWC policies, and processes, and EWC ISO system of works.
  4. Knowledge of the current legislation and good practice across the industry and identification of any areas where additional or updated training would be beneficial.
  5. Understanding of the H&S at works act, current H&S legislation applicable to the construction, and the project involved.
  6. Good knowledge of all statutory compliance and requirements in accordance with maintenance and project works.
  1. Ability to measure and generate price and supporting documentation for the generation of a variety of maintenance and small project works.
  2. Good organisational skills to be able to assist with the general running of maintenance and small projects department.
  3. Ability to program and schedule works across a team of engineers and support staff.
  4. Good customer interfacing skills and understanding coupled with the ability to train and develop the relevant staff to adopt and develop these.
  5. IT skills including spread-sheet software, Computer-assisted facilities management tool, and Microsoft office suite.
  6. Presentation and communication, in particular, able to use the English language for verbal and written communication.
  7. To manage a team to achieve the optimum result in the time available.
  8. Ability to adhere to legislative requirements such as the Health and Safety at Work Act and its practical application across the workforce.
  1. To assist with overseeing the day-to-day operations of the maintenance department and ensure it is delivered in the most cost-effective and efficient manner.
  2. Implement and comply with EWC policies and ISO procedures including business management systems, HR, IT, health and safety, environmental, communications, and branding.
